Academic Staff
Leaves available to continuing, contingent-term, and limited-term academic staff members are governed by Article 18 of the Collective Agreement. Details regarding vacation, sick leave, self-funded leaves, and Reduced Duties Leading to Retirement are outlined in Schedule A.
Please review the sections below for information on each type of leave, including eligibility and the applicable application process. For information on Research & Scholarship Leave (RSL) or Administrative Leave, please visit the corresponding website.
Special Leaves
Academic staff members may be granted special leave for approved periods and purposes, with full pay, partial pay, or without pay. Any remuneration or financial assistance provided by the University during a period of special leave is determined on a case-by-case basis by the Provost. A special leave may be approved for purposes including, but not limited to, child care or elder care, as outlined in Article 18.5.
Application Process
- The academic staff member completes the Application for Special Leave form, including the proposed start and end dates, the percentage of pay requested during the leave, and the rationale for the request.
- The academic staff member obtains approval signatures from the Department Head (or equivalent) and the Dean (or equivalent).
- The completed form must be submitted to People and Culture at hracadem@ucalgary.ca prior to the proposed start date of the leave, where possible.
- People and Culture will coordinate the review and approval process with the Provost’s Office and notify the academic staff member and all form signatories once the Provost has made their decision.
Academic staff members may be granted paid leave for urgent personal reasons for up to ten (10) work days, in accordance with Article 18.3 of the Collective Agreement. Where additional time is required, further leave may be approved at the discretion of the Dean.
The approved duration of the leave will consider factors such as the nature and closeness of the family relationship, required travel time, and other relevant circumstances. Urgent personal reasons include matters related to the effects of violence in the home.
Leave for urgent personal reasons is granted without loss of salary or benefits.
Application Process
- The academic staff member completes the Application for Special Leave form, including the proposed start and end dates, the percentage of pay requested during the leave, and the rationale for the request.
- The academic staff member obtains approval signatures from the Department Head (or equivalent) and the Dean (or equivalent).
- Submit the completed form to People and Culture at hracadem@ucalgary.ca, as early as possible prior to the leave start date. Provost approval is not required.
Note: In emergency situations where a leave request cannot be submitted in advance, the academic staff member must notify their Department Head and Dean (or administrative equivalent) within two (2) work days of the absence and provide an estimated duration of the leave.
Academic staff members may be granted a leave of short duration, for up to sixty-six (66) work days, with full pay and benefits in accordance with Article 18.2 of the Collective Agreement. This leave allows staff to participate in activities directly related to their regular duties and responsibilities at the University.
Unless the Provost approves otherwise in advance, on the recommendation of the Dean (or equivalent), staff on a leave of short duration may not accept remuneration for the activities for which the leave was granted.
Approval and Maximum Length
- September 1 – April 30
- Department Head: up to 5 consecutive work days
- Dean: up to 22 consecutive work days (includes vacation and any Department Head–approved days)
- May 1 – August 31
- Department Head: up to 20 consecutive work days in addition to annual vacation
- Dean: total leave, including vacation and any Department Head–approved days, cannot exceed 66 consecutive work days
A leave of short duration that:
- Does not fall entirely within either September 1 – April 30 or May 1 – August 31, or
- Is scheduled to begin within 66 work days of an academic staff member’s appointment
must be approved by the Provost.
Application Process
If the leave request meets the criteria in Article 18.2.2:
- The academic staff member completes the Application for Absence from Campus form, including the proposed start and end dates and the rationale for the request.
- The academic staff member obtains approval signatures from the Department Head (or equivalent) and the Dean (or equivalent). No Provost approval is required.
If the leave request does not meet the criteria of Article 18.2.2, the academic staff member must complete the Application for Special Leave form and follow the Special Leave approval process.
Academic staff members may be eligible for assisted study leave to pursue advanced study or professional programs that benefit both the staff member and the University. This leave is generally intended for:
- PhD or equivalent programs, or
- Other advanced or professional degrees (e.g., LLB, MD) that complement the staff member’s existing qualifications.
Eligibility
- Staff must have completed at least two (2) years of service in the five years immediately prior to the leave within the department to which they will return.
Duration
- Assisted study leave is normally 12 consecutive months, with the possibility of extending to 24 consecutive months.
- Any period beyond 24 months is taken without pay.
Financial Assistance
- The maximum University support is up to half the minimum annual salary for an Associate Professor at the start of the leave.
- Total support, combined with outside funding, cannot exceed 125% of the staff member’s annual academic rank salary.
Return Requirement
- Staff granted assisted study leave must commit to two years of full-time service at the University after completing the leave.
- Alternatively, they may repay 1/24 of the financial assistance for each month of the two-year commitment not served.
Limit
- An academic staff member may be granted assisted study leave only once.

Application Process

A secondment allows an academic staff member to temporarily perform the duties of an existing position or undertake a special project in another faculty, unit, or external organization, while retaining their primary appointment within their home faculty.

Maternity and Parental Leaves
The maternity and parental leave processes involve four steps — preparing for your leave, adding your new child to your group benefits, returning to work following leave, and reviewing your status once you've returned to work.

Complete the Application for Parental Leave
The Application for Parental Leave is used to initiate a request for Maternity or Parental Leave. The form should be submitted to your Department Head (or equivalent) at least four weeks in advance of your last day of work. Once the request has been signed by the Dean (or equivalent), the leader submits the form to People and Culture to initiate the process.

Complete Benefits Directive
Once the leave application has been approved, People and Culture will send you a Maternity or Parental Leave package. This will typically be sent no later than 2 weeks before the start of your leave. The package may include a letter outlining your compensation during the first 20 weeks of leave (as applicable) as well as a Benefits Directive for you to review and completion. The Benefits Directive allows you to determine your participation in benefit programs while on leave. All non-compulsory benefits during the leave will be terminated if the Benefits Directive is not signed and returned to People and Culture.

Start Application for EI Benefits Online
You can initiate your online application for EI benefits prior to the leave. This online application can only be completed once Service Canada has electronically received your Record of Employment (ROE) from the University of Calgary. Your ROE will be produced and electronically sent to Service Canada on commencement of your leave.

Complete EI Application
You should complete your EI online application through the Service Canada website. This will commence your maternity or parental EI benefits through the government of Canada’s Employment Insurance program.
To add a new dependent to their benefit plan, an academic staff member must complete the benefit change form included in the applicable leave package. This must be done within 31 days of the child’s date of birth or the date custody of an adopted child is assumed.
At least four weeks before the expected return date, the academic staff member should provide written notice of their intent to return to their Department Head (or equivalent). The Department Head will notify People and Culture of the confirmed return-to-work date, and the academic staff member will be returned to regular status effective that date.
After returning to work, academic staff members should review their status in the myUCalgary portal to confirm that their benefits and pension have been reinstated. For assistance, please contact hr@ucalgary.ca.
Annual Vacation
In accordance with Schedule A, Article 2.16, academic staff members are entitled to 22 working days of paid vacation after completing 11 months of continuous full-time service. For vacation purposes, the employment year runs from July 1 to June 30. Academic staff members earn one additional working day of vacation for each completed year of full-time continuous service beyond 10 years, to a maximum of eight additional days.
Vacation may be taken at any time during the year with the approval of the Department Head (or equivalent) and the Dean (or administrative equivalent). Vacation periods of more than five consecutive working days must be reported to the Provost, unless taken between May 1 and the start of Fall classes.
Vacation balances are tracked within the faculty or unit. For questions about your vacation balance, please contact your Department Head or equivalent.

Special Leaves
Special leaves are available to academic staff holding full-time or part-time Continuing, Contingent Term, or Limited Term appointments.
To apply for a special leave, please follow the steps below:

Yes, you may seek further approval. To extend an approved special leave, you must complete a new Application for Special Leave form and submit it for approval. Please see the steps outlined in the FAQ above.
To return early from an approved special leave, contact your Department Head (or equivalent) to confirm your new return date. Your Department Head will notify People and Culture of the change.
Special Leave with 80%-100% pay
Academic staff members on leave with full pay (80-100% pay) are entitled to all benefits, including professional expense reimbursement (PER) and the University’s contribution to premiums (Article 18.1.1).
Special Leave with 0%-79% pay
Academic staff members on leave with partial pay are entitled to professional expense reimbursement (PER) and University contributions to benefits on a pro-rated basis (Article 18.1.11).
You may choose to continue your benefit coverages, including pension. After your leave is approved, People and Culture will send you a Benefits Directive form to indicate your preferences for each benefit plan. If you wish to maintain coverage, you are responsible for arranging payment of premiums. If you do not return the directive by the deadline, optional benefits will be cancelled when your leave begins.
Academic staff members on unpaid (0%) leave may continue participating in most benefit plans if they assume responsibility for the full premium costs.

Maternity and Parental Leaves
Eligible pregnant academic staff members may take up to 16 weeks of maternity leave. This leave can begin up to 13 weeks before the estimated due date and must begin no later than the date of birth.
Academic staff members who become biological or legally recognized parents (including adoptive parents) may take up to 62 weeks of parental leave.
Yes. If you are eligible for both maternity and parental leave, the parental leave must start immediately after maternity leave. The combined maximum for maternity and parental leave is 78 weeks.
For parents not eligible for maternity leave, parental leave may begin at any time after the child first comes into the parent’s care, custody, and control, but must be completed within 78 weeks of that date.
Yes. If both parents are academic staff members, the 62 weeks of parental leave may be shared or taken by one parent, but the combined total cannot exceed 62 weeks.
Yes. You must provide written notice (Application for Maternity or Parental Leave) to your Department Head (or equivalent) as soon as reasonably possible, indicating:
- When your leave will start
- When you intend to return to work
You must provide written notice of any changes as soon as reasonably possible, and at least 4 weeks in advance.
Top Up Benefits provide 100% of the staff member’s salary, minus the amount received through the standard Employment Insurance (EI) benefit. If a staff member does not apply for, or does not qualify for, EI benefits – or qualifies for extended EI benefits – the University will provide only the difference between the standard EI benefit and the 100% salary rate (Article 18.9.7.2).
Eligible academic staff members may receive Top Up Benefits for up to 20 weeks to supplement income while caring for a child during the first year of life or the first year of adoption. To qualify, the staff member must be a biological or legally recognized parent (including adoptive parents) and be on an approved Maternity or Parental Leave (Article 18.9.7.1).
When both parents are academic staff members, each parent is entitled to Top Up Benefits in accordance with Articles 18.9.7.1 and 18.9.7.2. The benefits may be received concurrently (Article 18.9.7.3).
Once your leave application is approved, People and Culture will send you a Maternity or Parental Leave package. This is typically provided no later than two weeks before the start of your leave. For further assistance, please contact benefits@ucalgary.ca.
Vacation
Vacation balances are tracked within the faculty or unit. For questions about your vacation balance, please contact your Department Head or equivalent.
Academic staff members should contact their Department Head (or equivalent) to submit vacation requests. Processes for submitting and approving vacation may vary by faculty or department.
Vacation entitlement earned up to May 31 of an employment year may not be carried forward beyond June 30 of the following year, except in cases where the vacation accrues immediately prior to a Research & Scholarship Leave or Administrative Leave. In such cases, unused vacation may be carried forward and must be taken prior to the commencement of Fall classes following the conclusion of the leave (Schedule A, Article 2.16.6).
