Sick Leave

The University of Calgary is committed to supporting employees during periods of illness or injury and ensuring safe return to work.


Sick Leave Processes by Employee Groups

Employees must provide sufficient objective medical documentation to support their absence, to qualify for benefits, and to assist in the development of a return to work plan appropriate to the employee's abilities and limitations.

  1. Report absence

    Absences as a result of injury or illness—work-related or not—must be reported to your manager as soon as possible. When you are absent from work due to an illness or injury for more than five consecutive work days, your manager will contact Staff Wellness.

    Ensure all sick time for the duration of an absence is coded (SIC - Sick Leave) in PeopleSoft.

    Work-related injuries must be reported to the Workers' Compensation Board and Staff Wellness.

  2. TELUS Health Case Management

    Connect with your physician and seek treatment.

    Staff Wellness will submit the claim via an online notification portal to TELUS Health (formerly Lifeworks).

    A TELUS Health case manager will connect with you through an initial phone assessment and request medical documentation, completed by your physician. The medical documentation must be submitted within ten business days of
    the initial absence date, otherwise your pay may be affected—you will be
    notified if this is the case (extenuating circumstances will be taken into consideration). 

    Further medical information may be required throughout your absence.

    TELUS Health will provide Staff Wellness with recommendations on absence from work support, expected absence duration and suitable return-to-work support.

  3. Maintain Communication

    Notify your TELUS Health (formerly Lifeworks) case manager if you plan on traveling while on sick leave.

    If you are unable to take preapproved vacation due to illness or injury, it is up to you to cancel and reschedule.

    Your sick leave balance can be reviewed under 'Report Time' on my.ucalgary.ca

  4. Return to work

    Staff Wellness will work with TELUS Health (formerly Lifeworks), your manager and yourself to facilitate a return to work. If you are unable to return to work Long Term Disability may be appropriate.

    Work-related injuries must be reported to the Workers' Compensation Board and Staff Wellness.

  2. TELUS Health Case Management

    Connect with your physician and seek treatment.

    Staff Wellness will submit the claim via an online notification portal to TELUS Health (formerly Lifeworks). 

    After receiving a new absence claim, a TELUS Health case manager will connect with you within two business days. Your case manager will request medical documentation, completed by your physician, after four weeks from the initial date of absence.

    Further medical information may be required throughout your absence.

    TELUS Health will provide Staff Wellness with recommendations on absence from work support, expected absence duration and suitable return-to-work support.

  3. Maintain Communication

    Notify your TELUS Health (formerly Lifeworks) case manager if you plan on traveling while on sick leave. 

    Your sick leave balance can be reviewed on my.ucalgary.ca

  4. Return to work

    Staff Wellness will work with TELUS Health (formerly Lifeworks), your leader and yourself to facilitate a return to work. If you are unable to return to work Long Term Disability may be appropriate.

Notify the Postdoctoral Office of any illness or injury requiring absence from work for longer than five days at postdoc@ucalgary.ca.

Sick Leave Program - Leader Training

UCalgary Staff Wellness partners with TELUS Health to manage our Sick Leave Program. This session will provide Leaders with information on the Sick Leave Program including referral, case management and return to work processes for faculty and staff.
