Checklist for Adjunct and Clinical Appointments

Deans were sub-delegated the authority to approve Adjunct and Clinical appointments, effective Feb. 7, 2012. The Dean will sign and send Offer of Employment letter created using the templates provided by Human Resources. Once the appointee has signed and returned the Offer of Employment, the Dean’s Office will forward to hracadem@ucalgary.ca the following documents for entry:

  1. New Appointments

    A complete contract request shall include:

    • AE2 Form (for all faculties other than Medicine and Nursing)

    or

  2. Reappointments

    A complete contract request shall include:

    • AE2 Form (for all faculties other than Medicine and Nursing)

    or


  • All other supporting documents, i.e., CV, and three letters of reference must continue to be collected by the Faculties, and will be stored in the Faculty/Department files for audit purposes.
  • Duties must be outlined in the Offer of Employment in order that the University and the Candidate share a clear understanding of their overall duties expected under this assignment. When duties are outlined in the offer of employment it alleviates any confusion or discrepancy between parties with regards to the appointees’ duties when their assessments are completed.
  • If the Dean decides to add teaching duties, a separate new term-certain ‘Sessional’ appointment will need to be made in order to remunerate the individual for those duties. If appointing these individuals, use the ‘Template Based Hire’ for Sessional Instructors and remunerate them according to Schedule B of the Collective Agreement.
  • Reminder that there is a need to comply with the CA in regards to first consideration for future teaching appointments.
  • Refer to APT Manual, 2.4 and 3.13 and the Collective Agreement, 12 and 23.11 when appointing into adjunct and clinical roles.
  • If the appointee holds a regular academic appointment currently at UCalgary in another Faculty or Department, please ensure that, at minimum, the Dean the appointees’ home faculty is informed of this contract. It is recommended that the Dean’s office looking to appoint an existing staff member into an adjunct role, contact the primary Dean’s office for a discussion of intent prior to this offer being extended.
