Event Registration System     Frequently Asked Questions

  1. Both of these sites would be considered an "on campus" location for the purposes of the Event Registration system. The location alone would not require registration unless part of the event takes place outside of the site (i.e. hiking).
  1. Villages, towns, and cities are considered Urban Areas for the purposes of the Event Registration system. As such, locations outside of those sites are considered non-urban areas and are required to be registered.
  1. There are occasions and/or activities that take place outside of regular classes, labs and work.  They include, but are not limited to functions such as conferences, seminars, workshops, corporate launches, fashion shows, exhibitions, road shows, theater productions, concerts, outdoor markets, tradeshows, road races, sporting events, competitions, political rallies and other activities where the goal is to attract an audience. 
  2. University of Calgary Events are those events that are hosted by the University, funded partially or completely by the University and for which a Department Head, Dean, Director, Vice-President, or other Executive Member have taken responsibility taking place on or off university campuses. 
  3. Private Events are those events which are hosted by private or third-party users who rent indoor or outdoor space from the University for their event. These are required to be registered if they meet one or more of the 9 risk factors. 

Students’ Union Events and events taking place in the Last Defense Lounge (and organized by the Graduate Student Association) do not require Event Registration.

You are not required to register the event if it is taking place in a smudge-friendly space ( https://www.ucalgary.ca/indigenous/cultural-teachings/cultural-protocol).

If the event takes place in another space not listed in the link above, please register your event to ensure that FM/EHS is notified and can work with you to ensure that the appropriate accommodations are in place.
