On Request Reports-NEVER scheduled/templated Reports

"NEVER" scheduled reports are templates which have been developed for areas that wish to request similar report outputs at irregular intevals. These reports are setup according to the criteria that the requestor gives ITS and should be used for the original purposes. If the purpose of the report changes, ITS should be consulted again in case the report criteria needs modification in order to target the new purpose. The requestor, ITS and the department responsible for the database(s) being queried by the report MUST be aware of the report and the procedures used by the department responsible for generating the databse(s) being queried by the report so that accurate criteria and output can be generated without any faulty assumptions. As procedures change, all three parties must be informed so that requests can be modified, reports modified or changed completely.

• LIMITATIONS:
  • date mailed in the orderline is part of the criteria so if the order is NOT mailed, the title will NOT be in the output
  • titles will only be included if they have a copy in the system. This is a fundcircstat limitation!

• ITS cleanup steps before sending it to Requestor:
  • vi the excel output to get rid of the first section of the report which A.Waller doesn't require, clean it up to where it begins with: "This is the detail information for each item"
  • Get rid of unnecessary blank lines via the vi command: g/^$/d OR, just skip to the next step which will delete all but one blank line.
  • Get rid of duplicate lines, take the file through sort -u as in: cat filename | sort -u > new_filename
  • Get rid of diacritics which don't work well anyway by : cat filename | sed -e 's/[^ -~]//g' > new_filename
  • Get file sorted by call number: cat new_filename | sort -t"|" +1df -2 > new_filename
  • vi the file to get the header back to line 1: Fund ID|Callnum|Author|Title|Publication| and delete it from whereever it sorted to in the file.

  • Current location is the location based on the related ACTIVE serial control record.
    • NOTE: The file may have more columns for cases where once the program matched an order's ckey/vendor with a serial control's ckey/vendor, then it couldn't match the order's call number to a control's base call number so then it just tack on ALL the possible matching Serial Control's 3 final fields. Example is best to explain this:

  • VERY date sensitive for information obtained. This is run twice at year end once on the upcoming fiscal cycle to obtained what occurred in the past year in regards to payments after yesercom process is run (yesercom updates the new upcoming fiscal cycle with last year's payments). So by targetting the new upcoming fiscal cycle right after yesercom has run, you actually obtain last year's payments. Then the second run is done after serial staff have made adjustments and corrections and again it is run against the new upcoming fiscal cycle to now get an accurate picture of the commitments for the upcoming year.
  • Creates a comma delimited file for Excel with proper diacritics in the titles!

  • The list will NOT contain any 087's in which spelling or capitalization errors have been made.

• LIMITATIONS:
  • The report will give a bill total, but that total is just for the bills SELECTED by the report critieria, so may NOT be the user's current bill total
  • To reduce impact of this limitation, I often take the .prn output and do:

      cat ____.prn | sed -e 's/   */|/g' -e 's/$/|/g' > test1.ndl
      check that all barcodes were found in F3 now via:
      cat test1.ndl | selascii -iR -oA -r 4 "bill" and find the cases where perhaps there was
        just one or two spaces between the name and barcode instead of 3 or more,
        fix manually with via until F4 contains ALL the barcodes then:
      cat test1.ndl | selascii -iR -oF4F3F2F5 | seluser -iB -oBSb > test2.ndl
      put new header on file etc.

• If I use the fixed up version of the output, I generally explain to circ that if column 4 and 5 do not match in numbers, then you know that the user has incurred more fines since the date selected and that their bill balance will be different than that listed in field 3. Then I find an example from the report and tell them what the user's new current bill total is.

• IMPORTANT CRITERIA/LIMITATIONS/FEATURES:
  • ONE single entry tag must be targetted, suggested targets: 001, 245
  • This report was built in order to track down the problem records reported by OCLC review in which X records with more than one 245 were reported to us but no titles or any clue on how to find the records in the system.
  • In order for the report to churn through all the records, a format must be specified so that the files being compared and dealt with do not become too large for /tmp or the report take TOO long to complete.
  • This CUSTOM built report was made available to W.Rottenfusser via inserting the report's custom name into the list of authority group reports in the /Rptcustom directory.

• IMPORTANT CRITERIA/LIMITATIONS/FEATURES:
  • Only reviews the FIRST 001 of the record (if the record has multiple 001 tags) so could miss this error. Use entryreview report to find those cases of records with multiple 001's FIRST and then use this report second.
  • Reports out records with no master number, records with no catalog key and records with no Tag 001 see the LOG for record of these errors.
  • It reports out records with duplicate flex keys (master number in the Client screens) which can also be obtained via the dupflexkeys Sirsi report.
  • Also creates a file which can be imported into Excel. See the LOG for the location of this file. Example: File of flex keys not equal to tag 001 written to /s/sirsi/Unicorn/Rptcustom/Run/Flextag001/flex001.ndl.
