Learn how to book mental health appointments online, understand our cancellation policy, and find answers to other frequently asked questions.

We’ve upgraded the booking process

We heard you. The new and improved booking process is faster and easier than before, now using the Medeo booking platform.

How to book an appointment

If you’ve previously booked online in Titanium: 
Your chart has been transferred over to the new system, but you’ll still need to create a Medeo account if you don’t have one. Follow the steps below.

1. If you’re new to online booking:

Start by filling out a brief demographic and consent form from Ocean, then follow the next steps.

2. Select your provider or choose ‘Any provider’

In Medeo, Providers are listed as either Counsellor or Student Support Advisor.

3. Select your appointment type

We recommend attending in-person if this is your first appointment. Availability is the same for both virtual and in-person appointments.

4. Choose your date and time, add details

Be sure to add your reason so we can ensure the correct appointment type was booked.

5. Log in or sign up

If you have a Medeo account select ‘log in’, otherwise you can select ‘sign up’.

6. Wait for confirmation of acceptance

All online booking requests are reviewed prior to being accepted, please allow up to 2 business days. You’ll receive an immediate email confirming the request has been received, and another email when the request is accepted.

All appointments booked at least 72 hours ahead of time will receive an appointment reminder via SMS text and email with the date, time, location, and any forms that need to be filled out ahead of time.  

Note: Confirmation of the appointment is recommended but not required, not confirming will not cancel your appointment.


Cancellation policy

To cancel an appointment, call 403-210-9355 at least 24 hours or 1 business day in advance. You can leave a voicemail after hours with your name, student ID, and appointment details.

  • Cancellations cannot be made online through Medeo.
  • Not confirming an appointment reminder does not cancel the appointment.
  • Failure to provide notice or no show may result in a fee being charged to your account.

I’m logged in to Medeo, why can’t I see the option to book an appointment?

Your account may not be linked to UCalgary Wellness Services. 

  1. If you are new to online booking, please ensure you have filled out the brief demographic and consent form from Ocean.
  2. Try accessing from the direct link to appointment booking:

How do I choose virtual or in-person?

When booking, you will see Video appointments (virtual) at the top. Other appointments (in-person) will be listed below.

Is there more availability for virtual than in-person appointments?

No. Both have the same availability.

I booked a virtual appointment. Can I switch to in-person?

Yes! Please call 403-210-9355 to change your appointment type.

I’m running late, what should I do?

Please call 403-210-9355 to let us know.

Do I need to fill out forms before my appointment?

We'll let you know in advance by email if any forms are required.

Will I get a reminder of my appointment? Do I need to confirm?

How can I tell my appointment is approved?

You will receive an email confirmation 2 business days after sending the request. If you haven’t received an email, call SWS at 403-210-9355.

Will you release information about me to my professors?

No, information about you and what is discussed in counselling sessions will not be released to your professors without your consent.

Do I have access to Wellness Services as an alumnus?

Unfortunately, we cannot offer services to alumni and ContEd students at this time. Wellness Services are available to students currently registered in classes (e.g., full-time, part-time, undergraduate, graduate, open studies).

What if I have outstanding fees on my file, am I still eligible to book appointments?

There are no access restrictions for students who have outstanding fees on their file. Students with fees owing are still able to book and attend appointments. 

Do counselling and student support advising appointments cost anything?

No, counselling and student support advising are free of cost. We strive to make mental health support accessible to all students, removing financial barriers to help you succeed.

Are appointments offered in languages other than English?

While English is the primary language we offer, we have a limited capacity to offer counselling in additional languages (e.g., Spanish, Kiswahili). Contact us to discuss available options.

How can I access mental health support if I’m unable to attend during regular business hours?

Wellness Services are open Monday to Friday, from 9 a.m. to 4:30 p.m., and closed on weekends and statutory holidays. If you require mental health support outside of regular hours, the following options are available:

  • Available 24/7 by phone at 403-266-4357.
  • You can also access their online chat service from 3:00 to 10:00 p.m. on weekdays and 12:00 to 10:00 p.m. on weekends.

Can I access UCalgary mental health services over the summer?

Yes. Mental health services are available during the summer. Students who are registered for the upcoming Fall term are also eligible to access services over the summer months.

Can I access UCalgary Wellness Services virtually? Do I need to be living in Alberta?

We offer virtual appointments for some services, but eligibility depends on your location:

  • Counselling: Virtual appointments are only available for students living in Alberta (due to licensing and safety reasons)
  • Student support advising: You can continue to book a virtual appointment with an SSA; however, they may need to refer you to resources within your province/territory/country

Medical Physician Appointments: Virtual appointments are only available for students living in Alberta and the Northwest Territories (due to Alberta Health billing requirements and professional licensing). See more information about virtual physician appointments.
