Accommodated Exams

The SAS Exam Centre provides a centralized location to support approved exam accommodations for UCalgary students.

Students are responsible for booking in-term each exam, test or quiz at least 7 days in advance based on the information in their course outline.

Dos and Don'ts

Do

  • Provide us the test via clockwork or email per the timelines
  • Provide supervised web-based tests to us in paper delivery format
  • Tell us in advance of any technology requirements per the timelines
  • Send us exam corrections during the test
  • Advise us if we can contact you for student questions during the test
  • Ask us questions
  • Pick up your exam the next business day at MSC 452

Don't

  • Do not drop off physical test copies
  • Do not request online test invigilation
  • Do not request technology after the deadlines. Required technology seating may not be available.
  • Do not change test dates at the last minute. The Exam Centre and students require a minimum of 7 days notice for bookings.
  • Do not request technology that is not supported in the software centre.

Exam Centre Policies & Expectations (as of Fall 2025)

  • The SAS exam centre only facilitates paper-based assessments and paper-based tests that require use of tools available in the software centre. (D2L, Webwork, Top Hat, Moodle or other online testing systems are not supported). For online tests setup we would be pleased to provide a list of students upon request.   • Instructors have the option to arrange their own accommodated exams. Instructors need to provide all the accommodations listed on a student’s Letter of Accommodation. Please ensure that you can meet the distraction-reduced or private space requirement as well as additional time requirements that may apply
  • Instructors will receive their first e-mail notice of bookings 5 days in advance. This email includes a link to upload your exam details directly into our Instructor Clockwork Portal
  • Digital exam copies with test instructions must be provided per the deadlines below. (paper copies are no longer accepted)
    • For exams that require electronics (computer or tablet)
      • In-semester: 3 days for in-semester
      • Final Exams: 2 weeks after schedule is available
    • Deadline for exam delivery
      • In-semester: 1 business day before, by 4:30 p.m.
      • Final Exams: two business days prior, by 4:30 p.m.
  • If a correction is provided during the exam in the main writing space, instructors can call (403-220-3868) or email (access.exams@ucalgary.ca) the Exam Centre with any additional test information. We will pass any corrections to the students writing the exam.
  • Completed exams can be picked-up from the SAS main office at MSC 452 the following business day Monday to Friday, 9 a.m.—4 p.m. Evening hours pick-up may be available by prior arrangement. Same day pick up is not available
  • Deferred exams are not permitted to be self-booked by students. The Instructor and student will need to complete the Deferred Exam form and submit the form to the Exam Centre. Deferred exam approvals are at the discretion of the instructor
  • If you are changing the date of an upcoming test, the exam centre requires a minimum of 5 business days’ notice to book students for the new test date to allow for the exam centre to ensure we have appropriate resources to administer the test
  • Instructors must coordinate with Student Accessibility Services themselves and cannot assign someone to do this on their behalf. Only the instructor can arrange exams and use the Clockwork system. Teaching assistants and other delegates can support by being available for questions during exams and picking up exams.

Rules for student bookings

1.

Exam writing must overlap with the first 30 minutes of the class writing time. Students may start earlier than the class to allow for their additional time and our hours of operation. Students can only write without overlap with class writing time if they have instructor permission via our alternate booking time form or if they have specific accommodations regarding when they write exams

2.

Students must book their exams 7 days in advance. Instructors need to ensure that they provide at least 7 days’ notice of the test. If the student misses the deadline, there is no obligation for instructors to make any special arrangements. The student would write during scheduled class writing time without accommodations
