Unicorn Currency Updating

The Unicorn currency policy is used to calculate a foreign currency purchase in Canadian currency. Prices in non-Canadian currency will be converted to Canadian currency so that funds may be encumbered properly. At the University of Calgary Library, the Unicorn currency policies are updated monthly on or about the 15th.

  1. On the day you are going to make the changes, ask Accounts (Pauline Margolis, e-mail: margolis; ph: 220-5973) for the currency listing. Pauline will print it and then you can go and get it from her. The list will not contain the obsolete currencies for the countries that are now using the Euro dollar. However, as long as there are orders using those currencies, they must also be updated.
  2. The currencies must be updated in both the test server (neter) and the production server (seter). Calculate all of the 25 exchange rates first (see form for obsolete currencies and sample list in file).
  3. Go into neter using CRT.
    • From the main screen, choose System Configuration (10) \ Policy Definitions (6) \ Acquisitions (1) \ Currency (2).
    • Choose Modify.
    • From the list, choose the currency you want to update.
    • Choose Exchange Rate (7).
    • Type in the calculated exchange rate. If your new rate is substantially different from the previous rate, you may want to recalculate the figure to confirm that it is correct. Press enter twice. You will see a message that "The currency X has been modified." Press enter again.
    • Repeat the last four steps for each of the currencies.
    • After all of the currencies have been updated, choose Exit until you see the message, "Do you want to save your changes?
      1) NO
      2) YES
    • Choose YES (2). You will see the message "All modifications will be saved." This may take some time but you will see the message "Press ENTER or RETURN to continue" when it is complete.

  4. Repeat step #3 in seter.
  5. Print the list of currency exchange rates by choosing from the main screen: System Configuration (10) \ Policy Definitions (6) \ Acquisitions (1) \ Currency (2), then DISPLAY. Then Enter again to display ALL POLICIES, and enter to move through the list and print each page (Print Screen).
  6. Send the printed list to Lynn McGonigle in Serial Acquisitions, 4LB.
  7. Mark your copy of the exchange rates as completed, date it and then file it in the second drawer of the filing cabinet nearest the main ITS door.
