July 22, 2016 - Integrating the Contents of Your Old Exchange Email Account with Your New O365 Account
IT is the in process of migrating the contents of exchange accounts to O365 accounts. Legal Services recommends that you take advantage of this opportunity to identify, separate and remove unwanted and unneeded junk mail, non-records, transitory information, and personal mail from your account. Like Draft Documents (see below), transitory and other similar information can be deleted when it is no longer needed for an administrative purpose in accordance with the general retention rules published at http://asc.ucalgary.ca/marrs. Note that there is NO requirement to document the destruction of information that comes under one of the general retention rules. If you have any questions about what must be retained or what can be deleted, please contact Legal Services at foip@ucalgary.ca.

July 12, 2016 - Draft Documents
This is a reminder that draft documents and other working materials should be recycled or deleted when they are no longer needed for administrative or reference purposes. If the documents or materials contain confidential information, deposit them in the confidential shred bin or delete them from all file locations. For more information refer to General Retention Rule 98.0011 or contact Legal Services at (403) 220-3602.

November 17, 2014 - Preferred E-mail Addresses
Preferred email addresses for all faculty will be set to the @ucalgary.ca address on December 22nd, 2014 UNLESS there is an approved exception. This is being done to ensure that records relating to the business of the University remain in the custody and under the control of the University and are managed in accordance with the University's information management and security policy objectives.  Detailed requirements for the management of business information assets are set out in sections 4.16 to 4.26 of the Electronic Communications Policy. If you have any questions or concerns about the application of the policy, please contact Senior Specialist, Policy & FOIP. Technical questions can be directed to the IT help desk.

November 17, 2014
Employees of The University of Calgary Faculty Association (TUCFA) may have @ucalgary.ca email addresses that are forwarded to the tucfa.com addresses. Since the records created by employees of TUCFA are not 'business information assets' of the University, this practice is not affected by the Electronic Communications Policy.

August 18, 2014 
IT is in the process of upgrading University staff and faculty to Exchange 2010.  In the new environment, staff and faculty will not be able to automatically forward their email to a personal or non-University account.  This has been done to ensure that records relating to the business of the University remain in the custody and under the control of the University and are managed in accordance with the University's information management and security policy objectives.  Detailed requirements for the management of business information assets are set out in sections 4.16 to 4.26 of the Electronic Communications Policy.

April 11, 2014
The Electronic Communications Policy has been revised as follows:  

Despite s. 4.24 of the Electronic Communications Policy, University of Calgary employees who have an Alberta Health Services (includes CLS and TBCC) email account will be permitted to forward messages received in their ucalgary accounts to their AHS, CLS or TBCC account.

This addition is effective immediately.  

General Counsel is the approval authority for this policy.
