Microsoft Office 365 is a cloud-based set of productivity and collaboration tools. It provides the university community with anywhere access to email and calendars.

Web based access is available through the Outlook Web App: http://office365.ucalgary.ca.

What does Office 365 licensing include for Faculty & Staff?

  • Email & Calendar hosting.
  • Anti-malware and anti-spam filtering.
  • Licensing to download the latest version of Microsoft Office (including Word, Excel, PowerPoint, Outlook) on up to 5 devices including computers, smartphones and tablets.
  • Exchange Online Protection (EOP).

Note: OneDrive online storage is not available for Faculty & Staff.

What does Office 365 licensing include for Students?

  • Email & Calendar hosting.

  • Licensing to download the latest version of Microsoft Office (including Word, Excel, PowerPoint, Outlook) on up to 5 devices including computers, smartphones and tablets.
  • Exchange Online Protection (EOP).
  • 1 TB of storage for files in OneDrive (online storage space)
  • Word, Excel, PowerPoint Web Apps enabled through OneDrive.

What email applications can I use with Office 365?

Office 365 supports multiple email protocols (IMAP, SMTP and MAPI) and is compatible with many email clients such as Outlook, Thunderbird, Mac OS Mail, etc. The preferred email client for the University of Calgary is Outlook.

What does cloud storage mean, and is my information safe?

  • "The Cloud" is a network of servers. Some servers provide an online service, and others allow you to store and access data. Microsoft hosts the servers that store email in the cloud. Access to email and documents stored in the cloud is through the internet.
  • Microsoft has worked with education customers across Canada to ensure that Office 365 meets their requirements for security, privacy and availability. 

How is my data going to be used by Microsoft?

Though many cloud platforms will use user data to target ads like Facebook and Gmail tend to do, this is not something you’ll have to worry about. In Office 365 data is not used for advertising or data mining. Microsoft may use the data to improve the service, but the data will not be shared and they won’t access your actual content. The university can take our data from the servers whenever we want.

What can I do to protect my email data?

  • Use strong passwords and change them often.
  • Be selective of which WiFi networks your devices connect to, ensuring they are secure and not “open”.
  • Be selective about the type of data you send to outside users over the internet such as attachments related to confidential Intellectual Property. You cannot be confident how your data is being accessed once it leaves the university internal domain.

What is Office 365 ProPlus?

Office 365 ProPlus is the same Office productivity software as stand-alone Office Professional (including Word, PowerPoint, Excel, Outlook, OneNote, and more), but is licensed to offer you up to five installations of the software on Windows PCs, Macs and other mobile devices.

How long can I use my Office 365 account?

Generally, if your relationship with the University of Calgary is ended (no longer a student or no longer employed) IT must disable your Office 365 licenses. This includes all email, calendar, OneDrive, and Office 365 ProPlus licensing.

Can I forward my email in Office 365 to a different email account (e.g. Yahoo Mail, Gmail, etc.)?

Email auto-forwarding is no longer available using your ucalgary.ca email address. In order to enhance our IT security, your ucalgary.ca email must be accessed without the auto-forward feature.

Are there any alternatives to auto-forwarding my email?

Yes. Mobile devices have apps which can be setup with multiple email accounts. You will need to setup your ucalgary.ca email address on your smartphone or tablet and then configure your device to use the 'combined inbox' view for the same experience as auto-forwarding.
