Additional Personal Leave Days for 2017

Effective January 2017, all MaPS employees will be provided with four (4) additional Personal Leave Days, for a total of seven (7) Personal Leave Days. The four (4) additional days will be added to an employee’s leave bank quarterly, to be used within that quarter.  This benefit is a one-time incentive for 2017 as recognition of the contributions made by MaPS staff during these challenging economic times.

Who is eligible for the additional four (4) Personal Leave Days for 2017?

All Management and Professional Staff (MaPS) who currently receive Personal Leave Days are eligible for the additional days.

Why are we receiving additional four (4) Personal Leave Days for 2017?

Although the university is bound by the compensation freeze that is in effect until March 31, 2018, we believe it is important to recognize the efforts of all staff including MaPS. We value and appreciate your hard work and dedication, and look forward to building upon a solid foundation of excellence as we work together in the year ahead.

Will MaPS be entitled to the four (4) additional Personal Leave Days in 2018?

At this time the four (4) additional Personal Leave Days are being instituted as a one-time benefit in 2017 only.

Are there any restrictions on these additional Personal Leave Days?

The additional four (4) Personal Leave Days must be used in the quarter they were earned. If you do not use your additional PLD in that quarter, it will be forfeited.

Do I have to request a Personal Leave Day in advance?

In order to manage operational requirements, requests to use PLDs should be made in advance as much as possible. Circumstances will arise where an employee asks to use their PLD on short or no notice (e.g. broken furnace, MD appointment for family member). These circumstances should be addressed on a case-by-case basis.

When will I see the Personal Leave Days in my leave bank?

The PLD days will be added to your leave bank quarterly, as they are earned:

  • January 17h, 2017
  • April 1st, 2017
  • July 1st, 2017
  • October 1st, 2017

Is there a timeline in which I must use my Personal Leave Days?

Yes, the four (4) additional Personal Leave Days must each be used in the quarter they are earned:

  • 1st quarter: the PLD must be used between January 17 – March 31, 2017.  You have until May 1, 2017 to record the use of the PLD.

  • 2nd quarter: the PLD must be used between April 1, 2017 – June 30, 2017.  You have until July 31, 2017 to record the use of the PLD

  • 3rd quarter: the PLD must be used between July 1, 2017 – September 30.  You have until October 31, 2017 to record the use of the PLD

  • 4th quarter:  the PLD must be used between October 1 – December 31.  You have until January 31st, 2018 to record the use of the PLD

Can I use these Personal Leave Days in advance of them being earned?

No, employees can only use the additional Personal Leave Days once they have been earned in that quarter.

Can I elect to have any unused Personal Leave Days paid out?

No, Personal Leave Days have no cash value.

Am I entitled to the additional four (4) Personal Leave Days if I started working for the University part way through the calendar year?

To be eligible for the additional Personal Leave Day each quarter you must be an active employee on the day that the Personal Leave Day is loaded into the employee leave banks. Personal Leave Days will not be prorated or loaded .  

Will I get the additional PLD if I am hired on or after January 1, April 1, July 1 or October 1?

After you are hired, there is a three month waiting period before the PLDs are loaded in to your leave banks.  Once the PLDs are loaded, you are entitled to use them.  Please note however, that the quarterly deadlines apply and your additional PLD will be forfeited if not used before the end of the quarter. 

For example, if you are a new employee that was hired on or after December 31, 2016, you will not have satisfied your three month waiting period during the January – March 31 quarter and therefore will not receive the PLD for that quarter.  You will be eligible for the PLD in the next quarter (April – June, 2017).

Am I entitled to the additional Personal Leave Days if I am away from work?

The additional PLDs are added to your PLD bank even if you are on a leave of absence. If you return from leave before the end of the quarter, you may use the PLD.  You must use the PLD in the quarter it was earned and it must be recorded on your timesheet within 30 days of the end of the quarter, or it will be forfeited.
